What a return-to-work OT actually does

Returning to work after injury or illness involves more than medical clearance. Your OT assesses what you can genuinely do, matches that against the real demands of your job, and builds a graded plan that your employer and insurer can follow. We come to the actual workplace, write the reports in the format insurers expect, and stay involved through each stage of the plan.

Functional capacity assessment

A structured, standardised assessment of how your injury or condition affects your ability to perform work tasks. Your OT observes your posture, strength, endurance, mobility and task performance, then writes a detailed report setting out your current capacity and recommended duties. This document is the foundation of most workers comp and CTP return-to-work processes.

Workstation and task analysis

Your OT visits the actual job site to observe the workstation, equipment, physical demands and work environment. What looks manageable on paper often looks different in practice. The on-site visit identifies the specific mismatches between your current capacity and the job requirements, and produces practical recommendations rather than generic ergonomic advice.

Graded return-to-work plan

A written schedule that maps out the step-by-step increase in hours and duties from restricted to full duties, tied to your current capacity and reviewed at agreed intervals. The plan is written in consultation with you, your employer and the insurer, and sets out what modified duties are available, what the review triggers are, and who is responsible for each step.

Liaison with employer and insurer

Your OT communicates directly with your employer's HR or WHS team and your workers comp insurer or case manager, so the plan is grounded in what work is actually available and what the insurer will fund. This coordination reduces the gap between clinical recommendations and what happens on the ground, and means you're not carrying the administrative burden alone.

Workplace adjustments and equipment

Where the job can be modified to suit your current capacity, your OT documents exactly what changes are required: adjusted workstation height, altered task sequencing, temporary redistribution of duties, or specific equipment. Recommendations are written with your employer's operational reality in mind, not a theoretical ideal, to make approval and implementation realistic.

Review and progression

Return-to-work plans need to be reviewed as your capacity changes. Your OT conducts progress assessments, updates the plan, and writes the review reports required by the insurer at each stage. If the return runs into obstacles, whether a capacity plateau, employer non-compliance or a setback in recovery, your OT documents it and recommends the appropriate next step.

Workers comp OT is funded through your accepted claim with WorkCover QLD, iCare NSW or WorkSafe Vic. CTP insurance covers return-to-work OT for motor accident injuries. DVA covers eligible veterans. Approval for specific services depends on your insurer.

When should I see an OT after a workplace injury?

As early as your treating team recommends. An OT assessment early in your recovery helps establish a baseline of your functional capacity, identify what tasks you can manage now, and build a realistic graded return-to-work plan. Waiting too long can make the transition back harder. Your GP, physio or insurer can refer you, or you can contact us directly.

Can I access OT through my workers compensation claim?

Yes, in most cases. OT services are covered under workers compensation schemes in Queensland (WorkCover QLD), New South Wales (iCare), and Victoria (WorkSafe Vic). Approval depends on the insurer accepting liability for your claim. We can help you understand what's needed and write reports in the format your insurer requires.

Do I need a GP referral to see a return-to-work OT?

Not necessarily. For workers compensation and most private clients, no formal GP referral is required before contacting us. For Medicare-subsidised sessions under a Chronic Disease Management plan, a GP referral and care plan are needed. Call us and we'll confirm what applies to your situation.

What does a functional capacity assessment (FCA) involve?

An FCA is a structured assessment of how your injury or condition affects your ability to perform work tasks. Our OT will observe and assess your posture, strength, endurance, mobility, and task performance, using standardised tools. We then write a detailed report setting out your current capacity, recommended duties, and a graded return-to-work plan. The report is written to the standards expected by workers compensation insurers.

Will your OT come to my workplace?

Yes. A workplace visit is often a core part of the assessment. We observe the actual workstation, tasks, environment and physical demands of your role. This gives a much clearer picture than a clinic assessment and means our recommendations are grounded in the real job.

What does a return-to-work plan look like?

A return-to-work plan sets out a schedule for gradually increasing your hours and duties over a set period, taking into account your functional capacity, medical restrictions and the work available. It typically includes a start date, weekly hour increases, any modified duties, a review schedule, and the names of the treating team involved. Plans are written in consultation with you, your employer and your insurer.

What if my employer won't accommodate modified duties?

This is a common barrier. Our OT can document your functional capacity clearly, which strengthens your case with the insurer and employer. We can also provide recommendations for alternative tasks or a different role if your pre-injury duties aren't available. Where appropriate, we'll flag the need for vocational rehabilitation or retraining in our report.
