What a workplace OT assessment covers and what goes in the report

A workplace OT assessment examines the match between a person's functional capacity and the demands of their role, assessed on site in the actual job environment. The assessment provides the functional foundation for return-to-work plans, workstation modifications and employment-related funding requests. Case managers and insurers use these reports to make practical decisions, so the OT needs to observe real tasks, not just interview the worker.

On-site assessment: what the OT looks at

The OT visits the workplace and conducts a direct assessment of the workstation setup, physical task demands (posture, lifting, reach, repetition), cognitive demands (concentration, multitasking, decision load) and the physical work environment. For home-based workers, the home office is assessed in the same way. We observe the worker performing representative tasks wherever safe and practical to do so.

Job demands analysis

A job demands analysis (JDA) is a structured breakdown of the physical and cognitive requirements of the specific role, documented against the worker's current functional capacity. Some WorkCover authorities and insurers require a JDA as part of the return-to-work process. The OT completes this as part of the workplace assessment or, where required, as a standalone document. Scope is confirmed at intake.

Return-to-work planning and graded return

Where a graded return to work is indicated, the OT develops a structured schedule for gradually increasing hours and duties over an agreed period, with clear milestones and review points. The plan is developed in coordination with the treating GP, employer and insurer. The OT assessment provides the functional evidence base: what the worker can safely do now and what the graded progression looks like.

Workstation and task modification recommendations

The report includes specific recommendations for workstation adjustments, equipment (ergonomic chairs, monitors, keyboards, aids), task redistribution, rest breaks and environmental changes. Recommendations are prioritised and, where AT is indicated, we can coordinate with suppliers to obtain quotes. Each recommendation is linked to a specific functional observation from the assessment.

Report structure for insurers, case managers and NDIS

The report is written for the relevant audience and funding body. For WorkCover and workers compensation, it addresses functional capacity against job demands and return-to-work criteria. For NDIS participants in employment, it addresses reasonable and necessary supports and Capacity Building funding evidence. For DVA, it follows the relevant scheme requirements. Scope and audience are confirmed at referral.

Coordination with the employer and treating team

Effective workplace OT assessment requires input from the employer as well as the worker. With appropriate consents, we liaise with the employer or supervisor, the treating GP, the insurer's case manager, and any other relevant practitioners. Where NDIS participants are being supported in open or supported employment, we also coordinate with the support coordinator. The completed report is sent to whoever is nominated.

Workplace assessments involve the employer, insurer and treating team as well as the worker. We coordinate with whoever is relevant to make the assessment productive and the report useful.

Tell us the person's role, their injury or condition, the funding stream (workers comp, DVA, NDIS or private) and the purpose of the assessment. We confirm scope and provide a written quote.

On-site workplace assessment

An AHPRA-registered OT visits the workplace (or home office) and assesses the workstation setup, the physical and cognitive demands of the role, and any environmental barriers. We interview the worker and, where appropriate, the employer or supervisor. Task analysis and functional observation are central to the assessment.

Report and RTW recommendations delivered

The completed assessment report is delivered digitally within two to three weeks. It covers job demands analysis, observed functional capacity, specific modification and equipment recommendations, and a graded return-to-work plan where indicated. The report is written for the insurer, case manager, employer or NDIS funding body as relevant to the referral.

What does a workplace OT assessment cover?

A workplace OT assessment examines the match between a person's functional capacity and the demands of their role. It typically covers workstation setup and ergonomics, the physical demands of the job (lifting, posture, repetitive tasks), cognitive demands (concentration, multitasking, decision-making), environmental barriers and facilitators, and recommendations for modifications, equipment and a return-to-work plan. Task analysis and direct observation are central to the process.

When is a workplace assessment recommended?

Common reasons for a workplace assessment include: return to work following injury, surgery or illness; managing a chronic condition or disability in the workplace; adjusting to a new workstation or changed role; an insurer or case manager requesting evidence of functional capacity; NDIS participants in open or supported employment needing modification documentation; and ergonomic assessment following a musculoskeletal complaint or WorkCover claim.

What funding streams cover workplace OT assessments?

Workplace assessments can be funded through workers compensation (WorkCover and other insurers), DVA, NDIS (self-managed and plan-managed participants in employment settings), and privately. The funding stream will determine the reporting format and what the report needs to address. We write reports to the standards required by the relevant insurer or funding body.

Do you come to the workplace?

Yes. An on-site assessment at the actual workplace is far more useful than a clinic-based assessment. We need to see the real workstation, the actual tasks and the physical environment to make accurate and practical recommendations. For home-based workers we assess the home office in the same way.

Can you write a graded return-to-work plan?

Yes. A graded return-to-work plan outlines a structured schedule for gradually increasing the worker's hours and duties over an agreed period, with clear milestones. It is usually co-developed with the treating GP, the employer and the insurer. Our OT assessment provides the functional foundation for this plan.

What is a job demands analysis and do you provide one?

A job demands analysis (JDA) is a structured breakdown of the physical and cognitive requirements of a specific role. Some insurers and WorkCover authorities require a JDA as part of the return-to-work process. Our OTs can complete a JDA as part of the workplace assessment, or as a standalone report. Ask about this when you enquire.

Can the report be used for an NDIS employment-related funding request?

Yes. For NDIS participants in open or supported employment, a workplace OT assessment report can support funding requests for employment-related supports, assistive technology in the workplace and workplace modification funding through Capacity Building. The report needs to be written with the NDIS funding criteria in mind, which we do as standard practice.
