What a workplace OT assessment covers

A workplace OT assessment looks at the person, the job and the environment together. Unlike a standard ergonomic review, it brings a clinical lens to the fit between your current physical and cognitive capacity and what the role actually demands. Our OTs come to the job site, observe tasks in real conditions, and write reports in the format your insurer, employer or WHS team requires.

On-site workstation assessment

Your OT observes your actual workstation: desk height, chair, screen position, keyboard and mouse placement, lighting and the physical demands of your setup. Recommendations are specific to what is there, not a generic checklist. Where equipment changes would reduce injury risk or support a current condition, your OT documents exactly what is needed and why.

Task and job demand analysis

Some roles involve more than a desk. Your OT observes the full range of tasks in your job, including lifting, carrying, prolonged standing, repetitive movements, driving, and cognitive demands such as time pressure and dual-tasking. The analysis sets out which tasks are within your current capacity and which require modification or temporary removal.

Functional capacity matched to job demands

Where the person has an injury or health condition, your OT maps current functional capacity against the physical and cognitive demands of the role. This comparison is the basis for modified duty recommendations, graduated hours, or a formal return-to-work plan, and is the document most commonly requested by workers comp insurers and treating teams.

Modified duties and phased return planning

If full duties are not yet possible, your OT recommends specific modified duties that are within current capacity, taking into account what work is actually available in the business. Modified duty recommendations are written with the employer's operational context in mind and are presented in a format the insurer can act on.

Injury prevention and ergonomic risk analysis

Proactive assessments identify ergonomic hazards and task-related strain patterns before an injury occurs. Your OT can assess a workstation or team area, identify risks, and recommend changes to reduce the likelihood of musculoskeletal injury. These assessments are often requested by employers after a pattern of similar claims or as part of WHS due diligence.

Written reports to insurer and employer standards

The value of a workplace OT assessment is in the written report. Your OT writes clear, evidence-based reports that meet the documentation standards of WorkCover QLD, iCare NSW, WorkSafe Vic and other bodies. Reports cover findings, recommendations, equipment specifications where relevant, and proposed timelines. We also write reports for NDIS participants where workplace participation is a plan goal.

What is a workplace OT assessment?

A workplace OT assessment is an on-site evaluation of how a person performs their job tasks, how the work environment is set up, and whether there is a mismatch between the two. Our OT observes the workstation, tools, posture, movement patterns and task demands, then provides written recommendations. Assessments are used for return-to-work planning, injury prevention, ergonomic improvements and modified duty planning.

Who requests a workplace OT assessment?

Requests come from several directions: employers or HR teams managing an injured worker, insurers as part of a workers compensation claim, GPs or physios coordinating a return-to-work plan, and individuals who want an independent assessment. You can also contact us directly without a referral.

Does the OT actually come to my workplace?

Yes. An on-site visit is essential for an accurate assessment. Reviews done without seeing the actual workstation, tasks, environment and tools can only go so far. We need to observe the real job to give recommendations that will actually work.

What is the difference between an ergonomic assessment and a workplace OT assessment?

An ergonomic assessment focuses on workstation setup and posture. A workplace OT assessment is broader: it considers your functional capacity alongside the job demands, looks at the whole work environment, and produces recommendations that can include modified duties, equipment, task redesign and phased return-to-work. Our OTs bring a clinical lens as well as ergonomic expertise.

Can a workplace assessment help prevent injuries, not just manage them?

Yes. Proactive assessments can identify ergonomic risks, task-related strain patterns and environmental hazards before they cause injury. Some employers request these as part of their workplace health and safety obligations or after noticing a pattern of similar injuries in a team.

What funding covers a workplace OT assessment?

Workers compensation schemes (WorkCover QLD, iCare NSW, WorkSafe Vic) typically cover workplace assessments as part of an accepted claim. DVA covers assessments for eligible veterans. NDIS (self- and plan-managed) can fund workplace assessments where they relate to a participant's disability and employment goals. Private clients can also self-fund.

How long does a workplace assessment take and what does the report include?

Most on-site assessments take between one and two hours, depending on the complexity of the role. The written report typically covers a summary of findings, specific workstation and task recommendations, equipment suggestions with product options where relevant, modified duty recommendations and any follow-up actions. Reports are written with the referrer's purpose in mind, whether that is an insurer, employer or individual.
